Job Description

Overview: The Legal Organisation provides legal services to all Shell Businesses and Functions globally. There are five (5) new roles and these are part of a newly formed Centre of Execellence (CoE) to combine Requisition to Pay (RtP) tasks for Legal Organisation globally, to be based here in Shell Business Operations in Cyberjaya. There are two main functions within the team i.e. (1) RtP Smarter Spender, and (2) WBSE Support.
 
 (1) Act as RtP Smarter Spender: 

  • Coordinate between all involved parties (Legal, Finance, Vendors and Business) to resolve queries and issues in a timely matter and ensure excellent RtP performance;
  • Perform transactional tasks in SERP (SAP system) and Team Connect e.g. Create Purchase Requisition, Service Entry, code FI invoices and Team Connect Matter administration;
  • Manage vendor relationships for successful submission and payment of the invoices, liaise with vendors in case of issues;
  • Assist Accounts Payable in the resolution of procurement issues associated with vendor invoices;
  • PO monitoring & FI spend monitoring - to support business in providing necessary reporting; and
  • Request setting up and maintaining vendor master data.

 (2) Act as WBSE Support: 

  • Work with TeamConnect Administrators on coding requirements for the creation of new WBSE including liaison with business lawyers, finance focal(s) of Shell globally;
  • Coordinate between all involved parties in relation to the maintenance and closure of WBSE (and corresponding Sales Orders) for all:
    • US legal; 
    • US, GB and NL (Internal) Finance WBSE; and 
    • GB/NL Litigation matters which incur costs (internal or external);
  • Maintenance of WBSE to include, but not limited to, billing client changes, organisational changes, responsible person/applicant Person updates, extension of end dates, individual and organisational profit and cost centre changes;
  • Maintenance of Sales Orders to include, but not limited to, updating sales orders with changes to engagement numbers or the closure of existing sales orders and creation of new sales orders due to profit and cost centre changes or billing client changes;
  • Creation, documentation and ownership of existing and new processes in relation to WBSE creation, maintenance and closure; and 
  • Proactively identify trends in data and propose recommendations for operational or business improvements including review existing processes in line with Shell Legal strategy of streamlining, automation and continuous improvement.

  • Legal Services External Fees spent of USD 25million 
  • Annually 300 purchase orders
  • Supporting global Legal operations  


Job Requirements

  • Proficiency in MS Office applications, basic understanding of Extensible Markup Language (XML), and experience with SAP system would be ideal;
  • Ability to work independently and exposures in virtual working environment;
  • A working knowledge of Accounts Payable and Procurement would enable effectiveness on the role; 
  • Willingness to work on shift to support either (1) America region, or (2) European region.
